Your AI teammate

Fifteen AI helpers that take on the routine work

PropBarque’s AI is not a chatbot bolted onto old software. It is a set of focused helpers built into each module, each one designed to remove a specific piece of busywork.

  • Reads leases, bills, messages and requests
  • Suggests matches, replies and next steps
  • Leaves every decision to your team

Our principle

AI suggests. People decide.

Property management involves people’s homes and money. That is why every helper proposes and a person approves. These guardrails are built in and cannot be switched off.

A person approves

Nothing moves money, changes a lease, sends a legal notice or contacts a tenant without a person clicking approve.

Shows its work

Every suggestion shows the sources it used and how confident it is, so it is quick to check.

Sees only what you can

AI uses only the records the signed-in person is allowed to see, and only the fields the task needs.

Fair by design

AI never recommends approving or denying an applicant, and the listing writer flags fair-housing risks.

Never trains on your data

Your data is not used to train AI models, by us or by our AI providers.

Everything recorded

Each suggestion and each accept, edit or dismiss is logged in the audit trail.

The helpers

Meet your AI teammate

Each helper lives where the work happens and says what it saves. Helpers that are accepted less than 60% of the time are improved or switched off.

Every day and messages

Daily briefing

A short morning summary for each person: what changed overnight, what is overdue and what needs a decision, with links to every record.

Saves: the first half hour of the day

Ask your portfolio

Ask a question in plain English, such as “which leases end in March with no renewal offer?”, and get an answer with links. Save it as a report.

Saves: report hunting

Help assistant

Answers “how do I…?” questions from PropBarque’s own help content, right on the screen you are using.

Saves: training and support time

Inbox helper

Routes each email, text and portal message to the right person and record, drafts a reply and summarizes long threads.

Saves: repetitive email

Leasing and documents

Lease reader

Reads each signed lease, pulls rent, dates, deposit, fees and special clauses with the page they came from, and flags anything that differs from your records.

Saves: lease audits and data entry

Document sorter

Labels every upload (lease, ID, invoice, insurance certificate) and picks out key dates such as insurance expiry.

Saves: filing time and missed expiries

Listing writer

Drafts vacancy listings from unit facts and photos, and flags wording that could breach fair-housing rules before anything is posted.

Saves: listing time and compliance risk

Import assistant

When you bring your data over, it suggests how your columns, custom fields and categories map, and explains any differences in plain words.

Saves: onboarding and switch-over effort

Maintenance

Maintenance triage

Sets the category, urgency and trade for every request, flags emergencies straight away and lists what details are missing.

Saves: sorting and chasing

Request assistant

In the tenant portal, asks the right follow-up questions and suggests safe self-help first, such as a tripped breaker or a blocked drain.

Saves: vendor trips that weren’t needed

Vendor suggestion

Ranks your vendors by trade, service area, past cost and response time, so the right one gets the job the first time.

Saves: dispatch time and repair cost

Money

Invoice reader

Fills vendor, amount, property and account from bills and receipts, and flags likely duplicates before they are paid.

Saves: bill entry and double payments

Bank match

Suggests matches between bank lines and ledger entries, with the reason for each, so month-end is a review instead of a hunt.

Saves: month-end hours

Statement summary

Adds a short, plain-language note to each owner statement covering collections, repairs and vacancies.

Saves: owner calls and emails

Collections helper

Orders overdue balances by age, amount and payment history, and drafts timely reminders for your team to review and send.

Saves: bad debt and staff time

Predictable AI cost

AI that pays for itself, with a budget you set

AI should lower your cost of management, not add a surprise bill. PropBarque keeps AI spending visible and under your control.

  • A monthly AI budget for your company, with an alert at 80%
  • No lock-out: if the budget runs out, everything keeps working without suggestions
  • Right-sized models: simple tasks use small, fast models; only hard ones use larger ones
  • Usage you can see: AI spend per company and per helper, side by side with time saved
  • Helpers earn their place: those accepted less than 60% of the time are fixed or switched off

FAQ

Questions about the AI

Will AI replace my staff?

No. PropBarque is designed to take repetitive work off your team, such as data entry, sorting and first drafts, so the same people can manage more doors with less stress and spend more time with residents and owners.

Can the AI send messages or move money on its own?

No. It prepares drafts, matches and suggestions. A person approves anything that moves money, changes a lease, sends a notice or contacts a tenant.

How do I know a suggestion is right?

Every suggestion shows its sources, such as the page of the lease or the bank line it used, and a confidence level. Accepting, editing and dismissing are all one click and are recorded.

Which AI models do you use?

We use leading commercial AI models through providers that contractually do not train on your data. We choose the smallest model that does each task well, which keeps cost and response times down.

What happens if the AI is unavailable?

Your work carries on. Every task can be done by hand, and suggestions return when the service is back.
