Preparing your data for a new property management system

Many property managers stay with software they have outgrown because moving feels risky. The fear is understandable: years of tenants, leases, balances and history live in the old system. With the right preparation, though, a move can be calm and well controlled.

Decide what really needs to move

Current properties, units, tenants, leases, open balances, vendors and owners are essential. Years of closed work orders may not be. Agree what “day one” data looks like and archive the rest in a format you can still search.

Clean before you export

  • Merge duplicate tenants, owners and vendors.
  • Close out stale work orders and unused accounts.
  • Check that every unit belongs to the right property and owner.
  • Confirm opening balances with your accountant.

Import with a preview, not a leap of faith

In PropBarque, data comes in through CSV import with a preview. An import assistant suggests how your columns map to ours, flags rows that look wrong and shows exactly what will be created before anything is saved. You can fix problems and run the import again as many times as you need.

Run side by side for one cycle

Keep the old system read-only for one rent cycle and compare the results. When balances, statements and reports line up, you can switch with confidence.
